IP Vault discipline rests on six layered systemic protection levels; NDA signature alone isn't enough — isolated folder, code name system, access hierarchy, sample archive lock and leak prevention audit carry design security.

Mutual NDA Framework

Mutual non-disclosure agreement is signed before a design brief is shared; the scope covers design files, reference board, material sourcing and sample archive systemically. IP protection begins in legal framework, carries to the production line.

Brief sharing without NDA is strictly forbidden; any design file delivered without a signed agreement is recalled with log, the channel systematically resets.

Isolated Client Folder

Each client's design files are stored in an isolated digital folder; folder access opens only to team members the client has approved. Cloud infrastructure is end-to-end encrypted, shared links carry time-limited validity, audit trail is kept.

Unauthorized access cannot land on the folder; folder permissions allow no shadow IT channel, access requests systematically bind to contract terms and logs.

Code Name System

On the production order, a numeric code name systemically replaces the brand name; production line, quality control and shipment documents process via code reference. Brand identity stays outside the production team's view, leak source closes.

If a brand name accidentally slips into a production note, it is deleted at once; every document passes code check, leak detection logs in audit trigger.

Access Hierarchy

Access to design files is systematically layered by the need-to-know principle; the access hierarchy defined by team role is visible on every file. Unauthorized opening is prevented, the digital audit trail is automatically time-stamped.

Access shouldn't linger after role change; a departing team member's all file rights close systematically within 24 hours, audit trail logs with timestamp.

Sample Archive Lock

The physical sample archive is kept in a locked area; gold seal master sample, prototype and approved piece are stored in separate cabinets. Photography is forbidden, sample removal binds systemically to written request, exit is logged.

A lost sample creates IP risk; the physical count in the archive runs weekly with systematic check, missing pieces enter immediate inspection and escalation.

Leak Prevention Audit

A periodic IP leak prevention audit is run internally each quarter; folder access logs, code name usage and sample archive entry-exit are scanned. Risk points close systemically through a written action plan, the IP chain systematically holds.

Risk points found in the audit shouldn't turn into actual risk; the action plan closes in writing within 7 days, closure logs with signature and timestamp.
